Post Code | Makes postcode/postal code mandatory where address details are collected. | Usually enable only when address reporting or visitor logistics require it. |
Chargeback Fields | Chargeback details can be entered on the Booking Information screen when enabled/configured. | Enable when bookings must be allocated to departments, cost centers, or billable entities. |

Setting | Description | Recommended Use |
|---|---|---|

SMTP Port | Defines the SMTP port used for outbound mail. | Use the port required by your mail provider and security policy. |
SMTP User Name | Username or service identity used for SMTP authentication. | Use a dedicated service account rather than a personal mailbox. |
SMTP Password | Password/secret for SMTP authentication. | Store securely and rotate under standard credential management policy. |
Use TLS/SSL | Enables encrypted SMTP transmission. | Keep enabled in production unless a controlled legacy relay explicitly requires otherwise. |
Default Settings
Booking Behavior / Admin Defaults
Setting | Description | Recommended Use |
|---|---|---|
Booking Role | Sets the default booking role used in applicable booking flows. | Set this to the role most commonly used by end users to reduce manual changes. |
Grid Page Size | Controls how many rows/items appear per page in grid-based admin views. | Use a smaller size for readability and a larger size for power users handling high volume. |
Role | Appears to define a default role or admin context, but this field is not directly described in the reviewed documents. | Validate with Product/Admin before changing in production. |
Booking Cancel Status | Status value applied when a booking is canceled. | Align with reporting and downstream notification rules. |
Booking Deny Status | Status value applied when a booking is denied. | Align with approval workflows and service dashboards. |
No Show Status | Status value applied when a booking is marked as a no-show. | Use when utilization or attendance reporting needs to distinguish no-shows from cancellations. |
Show Host in Diary View | Diary display content is configurable and optional in the read-only calendar view. | Enable for concierge/reception/coordinator teams; disable if host visibility raises privacy concerns. |
Default Host | Defines the default host used when a host is not otherwise set. | Use only when a standard host model is part of the operating process. |
Show Accept/Deny in ServiceTracker | Service Tracker can be configured to display Approve/Deny buttons and Delivered/Retrieved statuses. | Enable when departments need to review and approve service requests manually. |
Use Room Group filter | Adds or enables room-group filtering in search/selection workflows. | Useful for larger estates with many rooms grouped by area or function. |
Show login screen | Manual login is supported when SSO is unavailable. | Enable where users may need a fallback login path. |
Show delete option in Booking Summary | Newer release notes reference a Delete option in Booking Summary for easier room removal. | Enable for experienced users and coordinators who often amend bookings. |
Copy Outlook Appointment text into Booking Notes | Notes behavior is configurable across web and Outlook-linked bookings when auto-populate notes is enabled. | Enable when meeting context from Outlook should also appear in Korbyt Booking. |
Document upload path | Defines where uploaded booking documents are stored; documents can be viewed in Korbyt Booking but not in Bookit or attendee emails. | Use a secure, backed-up server path with appropriate access controls. |
Unlock bookings if lock duration is greater than X minutes | Releases stale booking locks after the configured period. | Set a reasonable timeout to prevent abandoned edits from blocking other users. |
Show Documents in Booking Summary | Partially confirmed. Exposes attached documents in Booking Summary; document visibility is limited to Korbyt Booking, not Bookit or attendee emails. | Enable where admins/coordinators need to review booking attachments in the web app. |
Update users on every AD Sync | Inferred. Refreshes existing user details each time Active Directory synchronization runs. | Enable when directory attributes such as department, property, or contact data change frequently. |
Default Report Format for SSRS | Confirmed. Korbyt Booking supports Microsoft SQL Reporting Services (SSRS). | Set the default format to match how admins typically consume reports, such as HTML, PDF, or Excel. |
Allow Quick Book pop-up | Confirmed. When enabled, Quick Book pop-up is shown; when disabled, users are directed to Advanced Booking. | Enable for fast, simple room booking. Disable when users usually need advanced fields like services, chargebacks, or attendee detail. |
Administrator Email Address | Confirmed. Used for admin notifications; for Webex, the system sends a reminder five days before the refresh token expires. | Use a shared, monitored mailbox rather than an individual user’s inbox. |
Enable Favourites (QB and Mobile) | Partially confirmed. Favorites are supported in user profile settings. | Enable to speed up repeat bookings for frequent users. |
Product Feedback Widget | Inferred. Toggles an in-app feedback widget. | Enable in pilot phases or active improvement cycles; disable in tightly controlled production experiences if preferred. |
Enable Analytics | Needs validation. Appears to toggle analytics/telemetry behavior, but this was not directly documented in the reviewed files. | Review with Product/IT/privacy stakeholders before enabling broadly. |
Default: Display Full Day Booking as Banner in Outlook | This setting controls whether the "Display as banner in Outlook" checkbox is pre-checked or unchecked by default when a user initiates a Full Day desk booking. It applies to resource types with Fixed Time Slots enabled, and is only visible to users when Exchange Sync has been configured (Graph API or EWS). | Checked by Default — The "Display as banner in Outlook" checkbox is pre-ticked when a user starts a Full Day desk booking on an eligible resource type. Users can uncheck it before saving. Unchecked by Default — The checkbox is clear when the booking form loads. This is the system default if the setting has never been configured. Users can tick it before saving. |
User Defaults / Booking Defaults
Setting | Description | Recommended Use |
|---|---|---|
Language Preference | Users can set their language preference in profile settings. | Set the default to the most common language for the deployment. |
Primary Property | Users can set a primary property, and home property is used as the default in search. | Set this to the user’s main office/site to reduce search effort. |
Default Booking Type | Booking Type is automatically selected from Global Settings in the O365 Add-in, with users able to change it if multiple types are available. | Set this to the booking type most users create most often. |
Booking Duration | Default duration applied to new bookings. | Use a standard interval such as 30 or 60 minutes based on common meeting behavior. |
Self Registration | Likely controls whether users can self register in an applicable workflow. | Only enable if your business process supports self-service registration. |
Heart Beat Interval | Likely controls a polling/check interval for a service, sync, or device process. | Change only with technical review, especially in production. |
Show Resource Time in Diary | Multi-property booking can display booking time in the local timezone of the property being booked. | Enable for multi-site or cross time-zone deployments. |
Allow AD Sync | Enables Active Directory synchronization. | Enable when users and profile data should be maintained from corporate directory services. |
Allow Zbd Panel Matching | Appears to relate to room/panel device matching, but this is not directly documented in the reviewed files. | Use only for environments with the relevant hardware integration. |
Show Confirmation Message for Bookings | Displays a confirmation message after a successful booking action. | Keep enabled for end-user reassurance unless UI simplicity is the priority. |
Default Resource Type | Resource Type is a standard search filter/category in Bookit. | Set this to the most commonly booked resource type, such as Meeting Room or Desk. |
Suppress Service details in Outlook | Prevents service/add-on detail from appearing in Outlook content or notifications. | Enable when Outlook invites should stay concise or when service details are internal only. |
Show Telerik Reports in Alerts | Appears to control use of Telerik generated reports in alerts. | Enable only if alert/report templates are built around Telerik reporting. |
Company-Tenant Module | Appears to enable a tenant/company specific module. | Change only after confirming licensing and intended tenant architecture. |
Tenant Digital Coupon Functionality | Appears to enable digital coupon functionality for tenants. | Enable only where a tenant amenity or coupon workflow is in scope. |
Show Booking Summary on Outlook Appointment Body | Likely writes booking summary details into the Outlook appointment body; screenshot note indicates this is not applicable for recurrence and the O365 Add-in. | Use when meeting participants benefit from seeing booking details directly in the calendar item. |
Send notifications of web app updates to Outlook bookings to: Host / Requester / Both | Defines who receives notices when web app changes affect Outlook-linked bookings. | Use Both when host and requester are often different people. |
Show Save & Send in Booking Summary | Adds a Save & Send action in the booking summary flow. | Enable when users commonly need to save a change and immediately send updates. |
Add new country/state lookups during AD Sync | Creates new country/state lookup values found during directory sync. | Enable when user records may introduce new geographic values over time. |
Enable Regions | Enables regional hierarchy or regional filtering within the deployment. | Use in multi-region/global environments. |
Security Identifier Authentication by Database | Appears to authenticate using SID values stored in the database. | Change only under guidance from IT/Product, especially in SSO or directory-integrated environments. |
Recurrence Settings
Setting | Description | Recommended Use |
|---|---|---|
Impersonate Outlook For Recurring Bookings | Likely uses Outlook/Exchange impersonation behavior for recurring bookings in integrated environments. | Enable only where Exchange/Outlook integration and permissions are already designed for this model. |
Maximum Recurrences Allowed | Recurring bookings support a range based on the number of occurrences or an end-by date. | Set a practical cap to prevent very large recurring series and reduce accidental bulk bookings. |
Allow restriction by resource type | Likely applies recurrence restrictions based on selected resource type. | Use when certain resource types should not allow long or complex recurring patterns. |
Visitor Settings
Setting | Description | Recommended Use |
|---|---|---|
Disable Dynamic Search on External Visitors | When set to Yes, prevents real-time search/lookup of external visitor records during booking. | Set to No to allow dynamic search and improve the visitor registration experience. |
Use SSRS for Visitor Print Badge | When set to Yes, uses SQL Server Reporting Services (SSRS) to generate and print visitor badges. | Set to Yes if your organization uses SSRS-based badge templates. |
External Attendee Email Required | When set to Yes, makes the email field mandatory for external attendees added to a booking. | Set to Yes to enforce data capture for visitor communications and compliance. |
Text when unregistered option is ticked | Custom message displayed to users when they select the "unregistered visitor" option during booking. | Use to provide instructions or policy reminders (e.g., "Please collect visitor ID at reception"). |
Text when unregistered option is not ticked | Custom message displayed when the unregistered visitor option is not selected. | Use to confirm standard check in flow or provide relevant visitor instructions. |
Business Rules Settings (Booking)
Setting | Description | Recommended Use |
|---|---|---|
Enforce Maximum Capacity | Prevents or warns when a booking exceeds the room's maximum capacity. Options: Block (hard stop) or Warn (soft warning shown to user). | Set to Block to strictly enforce room limits. Use Warn where flexibility is needed (e.g., small overruns permitted by policy). |
Warning Messages | Customize the warning text displayed when users exceed capacity or other booking limits. | Tailor the message to your policy language so users understand why the booking was blocked or flagged. |
Service Quantity Based On (V9.7+) | Controls how service/catering quantities are calculated: Attendee Count (all invited, including remote) or Resource Participant Count (in-room/physical only). Only shown when Warning Message is set to No. | Use Resource Participant Count for catering orders where only on-site attendees consume services. Use Attendee Count for services that apply to all participants (e.g., digital content). |
Require Attendee Per Room (V9.4+) | Forces users to add at least one attendee to each booked room before the booking can be saved. | Enable to ensure all room bookings have an assigned attendee, improving data quality and reducing ghost bookings. |
Show Total Participants (V9.7+) | Controls visibility of the Total Participants count field on the booking form. Set to No to hide the field. | Hide if participant counts are not relevant to your workflow, or if Auto Calculate is enabled and you want a cleaner booking form. |
Auto Calculate Total Participants (V9.8.1) | When set to Yes (default), the Total Participants field becomes read-only and is automatically calculated as the sum of per-room participant counts, updating in real time. When No, the field remains manually editable. | Set to Yes to reduce manual entry errors and ensure accurate participant totals across multi-room bookings. |
Preserve Add-ons Within Cut-off (V9.8) | Feature flag (off by default). When enabled, add-ons are retained when the booking time is changed on the same date, provided the new time still falls within the service cut-off period. | Enable if users frequently adjust meeting times on the day and should not lose their catering/AV add-ons as a result. Leave off if add-ons should always be reconfirmed after time changes. |
