Audit System

The Korbyt Booking database has been designed to restrict the removal of items once they have been created. This means that items cannot be deleted; instead, they are made inactive to maintain the referential integrity of the system.

Categorization

An item may be a Property, Resource, Contact, Service, etc. When creating an item, take care to avoid mistakes. Items that have been added incorrectly or are no longer in use can be deactivated in the system, making them hidden from end users.

Deactivating an Item

When an item is created, it appears in a list with an Active column. The Active column controls an item's visibility by checking a tick box. When an item is displayed in the list with a tick, the item is active. When the box is unticked, the system will hide the item from end-user visibility. Although the items are hidden from end-user visibility, they will still appear in the administrator’s master lists. Use the filters to sort through these lists.

Making Changes

Many changes will require you to log out, clear cache, and/or exit the browser.

Resource

Any item that can be booked. For example: a Meeting Room, a Laptop, Tea, and Coffee, etc.

Resource Type

The parent category for similar resources.

Virtual Attendee

An attendee flagged as attending remotely rather than physically occupying the booked room. Virtual attendees are excluded from room capacity checks and, depending on configuration, from service/resource quantity calculations. Status is auto-assigned by comparing the attendee’s Primary Property to the booked resource, and can be overridden manually via the toggle in the People/Attendees section.

Total Participant Count

The overall headcount for a meeting, including both in-room and virtual attendees. Entered manually on the Booking Information screen, or auto-calculated as the sum of each room’s Attendee Count, depending on the Auto Calculate Total Participant setting (Administration > Settings > Business Rule Settings > Booking > Cover/Attendee Restrictions).

Secondary Name Fields

Many items have secondary name fields where the translation of the item's name is entered (if applicable). This is based on the languages configured in the system.
