Smart Alternatives for Exchange Spaces Via Outlook Add-in, Web & Bookit

Currently users are not able to select alternative spaces for Exchange Resources via the Web App & Bookit, nor are smart alternatives assigned when the Exchange space is booked via the Outlook Add-in. With this feature we want to extend the Smart Alternatives feature for Exchange Spaces across Outlook Add-in, Web & Bookit.

Approver in a Multi site Organization

I see that anyone with a role Venue Manager can approve any authorization request for any room in the Organization, even if they are not part of the approver for a specific room. This is a serios problem for all in general. Specifically for us, we have over 200 rooms with different approvers in Different department/building/location. Only authorized approver for each room must be able to approve any request.

Add “Recommended Serving” size option to Add-ons

Add “Recommended Serving” option to Add-ons to enable automatic quantity calculation based on participant/attendee count. Current Workflow: Add-on quantities must be manually entered or tied directly to the number of participants (1:1). There is no way to account for shared servings (e.g., catering platters), requiring users to estimate quantities, which can lead to over- or under-ordering. Proposed Workflow: Introduce a new “Recommended Serving Size” option within Select AddOn Quantity By alongside Unit and Participants. Admins can configure a serving ratio (e.g., 1 per 5 attendees) in the Add-on setup, and the system will automatically calculate the required quantity based on the number of participants. Business Reason: Simplifies catering and resource planning, reduces manual calculations and errors, and ensures more accurate ordering aligned to real-world serving practices.

Add Hover Card to Booking Search Page in Web-App

Add a hover card to the Booking Search page in the Web App to display booking details. Current Workflow: Users must click into each booking from the search results to view details. If the wrong booking is selected or users navigate back, all search parameters must be re-entered, making the process inefficient. Proposed Workflow: Enable a hover-over card on booking titles within search results that displays key booking details (e.g., host, time, location), allowing users to quickly review key information without leaving the search page. Business Reason: Reduces unnecessary clicks, improves efficiency when reviewing search results, and enhances overall user experience by minimizing repeated searches.

Provide company administrators with access to customize the Bookit application branding, including button colors and banner appearance. Requirements: Ability to change all button colors. Ability to modify banner colors and images. Ability to update branding elements without developer intervention. Business Benefit: This enhancement will allow the company to align the Bookit application with its corporate branding and maintain a consistent look and feel across the platform.

To improve usability and clarity for end users, rename the field label "BOOKIT Property Name" to "Location" throughout the application.

The term "BOOKIT Property Name" may be unclear or overly technical for end users. Replacing it with "Location" provides a more intuitive and user-friendly label, helping users better understand the purpose of the field and reducing confusion during booking and property selection processes. Expected Outcome: Improved user experience and interface clarity. Reduced user confusion regarding property identification. More consistent and intuitive terminology across the platform.
