The Korbyt Booking mobile App is a powerful and intuitive platform that enables users to seamlessly manage workspace reservations directly from their mobile devices.
Designed for flexible and hybrid work environments, the app allows users to book desks, meeting rooms, add services, manage attendees, and perform check-ins and check-outs on the go.
Whether you're planning your office visit or coordinating with team members, the app provides a comprehensive and user-friendly interface to streamline every step of the booking process.
Open the App and Login

Detailed instructions for installation are available in Korbyt Booking Mobile Application Installation & Configuration
If your organization is utilizing SSO
You will automatically sign in with your company credentials
If your organization is not using SSO
Enter your email or user ID and password

Tap the light blue Login button
If the Login is successful, you will see your Home Screen
If login fails, you will see an error message to enter a valid username and password

The home screen of the mobile app gives quick access to the most used Booking functions

Creating New Bookings
The app allows you to create new bookings in several ways. Each way differs in how it begins, but they share many similarities once you have found the space you wish to book.
Booking a Room
From the Home Screen, tap the Book a Room tile

Set search filters to find the right space on the Filters screen

Location – Choose the campus or building.
Resource Type – Select the type of room (e.g., Conference Room, Meeting Room, Huddle Room).
Area – Select the area or floor.
Neighbourhood – Narrow results to a specific zone within the area.
Layout – Choose the required room layout (e.g., Boardroom, Classroom).
Date & Time – Set the meeting’s start and end date & time, or select Full day
Capacity – Enter the expected number of in-room attendees.
Once all filters are set, tap Find.
You will see a list of spaces that match your criteria

The entries contain information that has been set about the room, such as
Area or floor name
Capacity
Any notable features like AV equipment, collaboration tools
Tap on the room you wish to book
On the Booking Information screen, you will see a confirmation of your
Booking Data and Time entered earlier
Location & Area, and Capacity of the room from its information
If you do not need to add attendees or services you can tap continue
To add attendees, tap the Add Attendees button

Internal attendees can be searched by name.
External attendees can be added with name and email details.
Drag and drop attendees between In-Room and Virtual lists if needed.
to add services, tap the Add Services button
On the add services screen
select service items
Define quantities
Set delivery and retrieval times
Once you have entered your booking details, tap Continue
On the Booking Summary screen

Enter a meeting title
Set the host
If booking on behalf of someone else, search and select the correct host
NOTE: The Host field is read-only when editing an existing booking in the future
Chargeback Codes / User Defined Fields (UDFs)
If your organization enables these optional fields, they will be displayed here.
Add any notes that might be required
Review meeting details, and when satisfied, tap Submit
Tap Book Now

You will see a Thank you / Confirmation screen
The room is now reserved and will appear in your My Bookings section
Booking a Desk
The "Book a Desk" feature in the Korbyt Booking Mobile App enables users to locate and reserve an available workspace. The flow is straightforward and includes an option to book for yourself or on behalf of someone else.
From the Home screen, tap the Book a Desk tile.

The app opens the Filters screen for desks.

If the booking is for someone else, tap the checkbox at the top of the screen.
A new ‘Booking For’ field appears when checked
Use the dynamic search to find and select an internal colleague.
Once selected, the booking will be created under their name.
Location – Choose the building or campus.
Resource Type – Select the desk type.
Area – Select a specific floor or section.
Neighbourhood – Further refine your selection within the area.
Date & Time – Select the desired booking date and time. Options may also include Full Day or Half Day.
Tap Find after setting your filters.
The Book A Desk screen shows results that match your criteria.

Each desk entry typically shows:
Desk ID or name
Area or floor
Availability details
Tap on an available desk to proceed.
After selecting a desk, the system behavior depends on your organization’s specific configuration:
Fast Confirmation Path
No more selections are needed; you have booked the desk
The Thank You/Confirmation screen is shown
The Title of the booking was set to the Host’s name
Full Information Path

If services, UDFs, or chargeback codes are enabled, or if you need to edit the Title, you are taken to the Booking Information screen.
On this screen, you can:
Update the Title (defaults to the Host’s name).
Add Notes (optional).
Add Services (catering, AV, etc.) by tapping Add Services to open the Add Services screen.
Once details are reviewed, tap Confirm Booking.
Thank You / Confirmation message will be shown

Booking a Space From the Floor Plan
The Floor Plan option allows users to visually select a room by browsing a map of their workplace. This method is particularly helpful if you want to know the location of a room before reserving it.
From the Home screen, tap the Floor Plan tile.

The app opens the Floor Plan screen (as shown in the screenshot).
At the top of the screen, you can adjust Date, Time, and Space Type.
Below, the selected Location and Floor are displayed.
The interactive floor plan shows all available and occupied spaces.
On the Floor Plan map:

Green dots represent available spaces.
Red dots represent occupied or unavailable spaces.
Tap a green dot corresponding to the space you want to reserve. This will take you to the Booking Information Screen
Complete the Booking Information Screen

Review Date & Time, Location & Area, and Capacity (these fields are read-only here).
Tap Add Attendees to include internal and external participants.
Internal attendees can be searched by name.

You can move attendees between In-Room and Virtual lists if needed.
Tap Add Services if you need catering, AV, or other services.
On the Add Services screen, choose items, set quantities, and define delivery/retrieval times.
If no attendees or services are needed, tap Continue.
On the Booking Summary screen, complete the booking details.
Title – Enter a descriptive title for the meeting.
Host – ▪ Defaults to the logged-in user if configured.
If booking for someone else, search and select the appropriate host.
This field becomes read-only if editing later from My Bookings.
Chargeback Codes / User-Defined Fields – Displayed if configured by your administrator. o Notes – Enter any special instructions.
Review all details carefully before confirming.
Tap Book Now.
The app displays the Thank You / Confirmation screen, confirming your reservation.

The room will now:
Appear under My Bookings.
Update to show a booked status (red dot) on the Floor Plan screen.
Coleague Search and Booking Near Them
The Colleague Search feature enables you to locate your colleagues' bookings, allowing you to select a workspace near them.
This helps teams coordinate in hybrid environments by allowing them to sit close together easily.
From the Home screen, tap the Colleague Search tile to open the Colleague Search Screen

On the Colleague Search screen, you will see:
Date selector – Defaults to today; you can select an alternative date.
Enter the Specific Date you want to search on, OR
Use the Today / 90 Day toggle – Quickly switch between limiting your search to Today or searching within the next 90 days
Note: past bookings can not be searched, only today and future dates
Colleague Name field – Search bar for finding colleagues by name.
Enter your colleague’s name
Find button – Executes the search
After entering details and tapping Find, you will see a list of your colleagues’ upcoming bookings

Each result card typically shows:
Colleague’s name
Resource type (desk or room)
Location and floor
Date and time of booking
Tap the blue View button to see the colleague’s booking on the floor plan.

The colleague’s booking is highlighted on the map.
You can now see available desks or rooms nearby (green indicators).

Existing Bookings in My Bookings
The My Bookings section allows you to view, manage, and edit all of your upcoming and past reservations.
Bookings are separated into two tabs so you can clearly distinguish between your own reservations and those made on behalf of others.
Viewing Existing Bookings
Tap the My Bookings Tile

At the top of the My Bookings screen, you will see two tabs

Booked for Yourself, displaying bookings where you are the host
Booked for Others, displaying booking where you created the event, but set someone else as the host
Tap the view you wish to filter by
You can scroll down to see your selected booking type arranged by date
Each booking is shown as a booking card that typically displays:
Title of the booking
Reference ID (clickable for more details)
Location and Area
Date and Time
Status (e.g., Confirmed, Pending Approval, Cancelled)
Tap a booking card to open the Booking Information Screen to see the full event details
Booking Reference ID
Date and Time
Location and Floor
And locate the space on the floor plan
Title
Attendees (if any were added)
Services (if any were added)
Editing Existing Bookings
Locate the booking you wish to edit and open its Booking Information screen by following the steps above.

On the Booking Information screen, you can
Edit the booking Title and notes
Adjust the meeting times (if allowed)
Attendees - Add, Remove, adjust if virtual or in-person
Resources - Add, remove, or adjust the service times
Cancel – Tap Cancel Booking to release the space.
Scan (QR Code) Functionality
The Scan option in the Korbyt Booking mobile app lets you interact directly with a desk or room by scanning the QR code displayed on it. Based on the booking status, the scan flow supports:
Creating a booking if no reservation exists.
Checking in when a reservation is active but not yet started.
Checking out when you want to end early.
Extending if you need additional time
Scanning Room Codes (If Available)
From the Home screen, tap the Scan tile.

The device camera opens, ready to scan.
Note: You may be asked to allow the application to access your device’s camera. This has to be permitted for codes to be scanned
Point the camera at the QR code displayed on the space signage.
What happens next will depend on the status of the space being scanned.
Creating a Booking by Scanning
If no booking exists, the app opens the Booking Information screen for that space

Fields displayed:
Date (defaults to today, but can be adjusted).
Start Time / End Time (can be changed).
Number of Participants (for rooms).
Title (defaults to host’s name, editable).
Tap Book Now.
The app shows the Thank You / Confirmation screen, and the booking appears in My Bookings.
Check-In by Scanning
If you already booked the space, scanning during the check-in window shows the CheckIn button.

Tap Check-In to activate your booking.
The app confirms with a You have been checked in message.
Extend a Booking by Scanning
If your booking is active and nearing its end time, Scan the QR code and the Extend screen appears.

Choose additional time (for example, 15 or 30 minutes) from the dropdown.
Tap Extend.
If the space is available, your booking will be updated with the new end time
Check Out by Scanning
If you wish to release the space early:
Scan the QR code during your booking.
The app shows the Check Out button.
Tap Check Out.
The booking ends immediately, and the space is freed for others.
Smart (Scan QR) Bookings in My Bookings
Once a booking is created or managed via Scan, it is marked as a Smart Booking in the My Bookings list.
This makes it easy to identify reservations created or managed through QR codes.
Profile Management in the Mobile App
Through the application, you can manage your profile, statuses, and log out of the application
From the Home screen, tap your profile avatar in the top-right corner.
A small menu appears with the options Profile and Logout.

Selecting Logout will return you to the login screen
Tap profile to view and edit details
Viewing Profile Details
Tap Profile in the profile menu.
The Profile Details screen opens and displays:
My primary property (read-only in the mobile app)
Language preference (read-only in the mobile app)
Update Status (visible only when Employee Portal is enabled by your administrator)
Notes and limitations:
Profile photo cannot be uploaded/changed from Mobile. Update your photo from the Web Booking or Bookit application.
Primary property and language preference are view-only on Mobile; changes are made in Web Booking or Bookit.
Update Status (In Office / Work From Home / Offsite / Out of Office)
This feature appears only if your administrator has enabled Employee Portal. If you don’t see Update Status on your Profile, contact your administrator.
Tap Profile in the profile menu.
From Profile Details, tap Update Status.
The Update Status screen opens with two tabs: Weekly and Date range.
Set Status - Weekly Tab
Ensure the Weekly tab is selected.
Use the week selector to view the desired week.

Tap a day and choose one status:
In Office / Work From Home / Offsite / Out Of Office
Repeat for other days as needed.
Tap Update to save.
The updates will be indicated by colour codes.
Set Status - Date Range Tab
Select the Date range tab.

Select the Start Date and End Date for the desired period.
Select one status to apply for the entire range:
In Office / Work From Home / Offsite / Out Of Office
Tap Update to save.
A confirmation pop-up displays the selected status and date range. Tap Close.

FAQ - Accounts & Access
How do I reset my password if I'm unable to log in?
On the Login screen, tap Forgot Password.
Enter your email ID.
If your organization allows self-service reset, you will receive a reset link.
Otherwise, contact your IT support team.
What happens if my account is deactivated or my password changes?
You will be logged out automatically.
The app will return to the Login screen.
How do I log out of the app?
Tap your Profile icon.
Select Log Out.

How do I switch between different locations or campuses?
When booking, use the Location dropdown on the Filters screen.
How do I adjust the display to show bookings in my local timezone?
Open My Bookings.
Toggle Show in my time zone.
How do I update my profile picture?
Tap your Profile icon.
Choose Change Photo → Upload or Capture.
FAQ - Bookings & Filters
Why don’t I see the Capacity field when booking a desk?
Desk bookings are for one person only; capacity input is not required.
Where do I add Notes or a Title for a booking?
Desk bookings: On the Booking Information screen.
Room bookings: On the Booking Summary screen.
How do I use Chargeback Codes or UDFs?
If enabled, they appear on the Booking Summary (Room) screen & Booking information (Desk) screen before confirmation.
How do I book a desk on behalf of someone else?
On the Filters screen, check Book for Someone Else
Search for the colleague and select them
FAQ - Attendees
Why can’t I add attendees to desk bookings?
Desks are single-user spaces. Attendees are only supported for rooms.
How do I add external attendees?
On the Add Attendees screen, choose External Attendee.
Enter their name and email address.
How do I mark attendees as Virtual or In-Room?
On the Attendees screen, drag them into the Virtual or In-Room list.
How do I remove or replace an attendee?
Go to My Bookings → Edit Booking → Attendees.
Remove or replace as needed.
FAQ - Services
How do I add services like catering or AV?
On the Booking Information screen, tap Add Services.
How do I change the delivery time of a service?
Open the booking → Services → Edit Time → Save.
How do I delete a service?
Tap the Delete/Trash icon next to the service.
FAQ - My Bookings
What is the difference between “Booked for Yourself” and “Booked for Others”?
Booked for Yourself: Reservations created for yourself.
Booked for Others: Reservations created on behalf of colleagues.
How do I edit a booking?
Tap a booking card → Edit.
How do I cancel a booking?
Tap the booking card → Cancel Booking → Confirm.
How do I see past bookings?
You cannot see your past bookings in the Mobile Application.
FAQ - Scan (QR Code)
What happens when I scan a QR Code?
If no booking exists, you can create one.
If a booking exists, you can Check-in, Extend, or Check-out
How do Smart Bookings appear in My Bookings?
Smart Bookings (created/managed via QR scan) are marked with a special tag.
FAQ - Colleague Search
How do I find a colleague’s workspace?
Tap Colleague Search → Enter Name → Find.
Can I book a workspace near a colleague?
Yes. Tap View from the colleague’s result → Floor Plan opens → select a nearby desk/room → follow booking flow.
FAQ - Collaboration in Mobile
What does collaboration mean in the Korbyt Booking Mobile App?
Collaboration allows you to connect your booking with an online meeting tool such as Microsoft Teams, Zoom, or WebEx.
When enabled, a join link is included in your booking so virtual attendees can join seamlessly.
Why don’t I see the Collaboration field when creating a booking?
The Collaboration field only appears if your administrator has enabled Collaboration for that room.
If Collaboration is not enabled at the room level in the system, you will not see this option on Mobile.
Where can I find the Collaboration field when booking a room?
If enabled, the Collaboration field is shown on the Booking Summary screen when creating or editing a Room booking.
You can select the desired tool (Teams, Zoom, WebEx, etc.) from the dropdown.

What happens if I add a virtual attendee but do not select a Collaboration tool?
When you add a Virtual Attendee, the app will prompt you with a pop-up suggesting you add a Collaboration tool.
This ensures that the virtual attendee has a proper join link for the meeting.

Can I use Collaboration with desk bookings?
No. Collaboration is only available for Room bookings.
Desk bookings are for individual workspaces and do not support virtual attendee workflows.
